As digital workplaces continue to grow, successful meetings have become more important than ever. Even with all the available technology, running effective virtual meetings is a skill that must be learned and intentionally applied. Using best practices for conducting productive virtual sessions helps ensure that remote teams perform at their best.
First, make sure everyone has a reliable internet connection before the meeting begins. This helps prevent technical issues from disrupting the session and ensures that all participants remain visible and engaged. Whenever possible, ask participants to use a wired connection instead of Wi-Fi. A wired connection improves video stability, although it may reduce mobility. Additionally, encourage attendees to close distracting applications and disable notifications during the meeting. Without this step, participants may become distracted by phone or laptop alerts, causing their attention to drift.
Clearly define the meeting objectives in the agenda and share it with participants well in advance. This allows attendees to prepare questions and ideas beforehand and increases the likelihood that the meeting goals will be achieved.
Consider using collaborative note-taking tools that allow participants to write notes or comments visible to the entire group and accessible afterward. This approach is especially helpful for individuals who feel more comfortable writing than speaking. You may also use digital whiteboard tools such as FigJam or Miro for real-time brainstorming and idea generation, creating a more interactive and engaging experience.
